Supply Chain Disruption Preventionist
Job Summary
Job Profile Summary Oversees the coordination, monitoring and response to backordered and discontinued products. Responsibilities include, but not limited to: Monitoring EDI PO confirmation transactions, verbal communication via buyers, assessing and reviewing the larger supply chain marketplace. Assesses risk to the organization with backorders and discontinued products by monitoring stock on hand volumes, forecasting usage, determining decision makers for approval of substitute products, researching availability of comparable products, and maintaining a master substitute item list to track products approved for use in place of system standard items. Responsible for notifying and communicating to end users back order/ discontinued products and status updates. Works directly with manufacturers and manufacturer representatives to validate actual backorder/discontinuation as well as identifying alternate items. Is responsible for the onboarding and education plan for new hires.
Job Duties
- Coordinates tasks related to the integration of clinical projects involving supply analysis. Reviews and assists in system targets for expense reduction.
- Oversees product back order/discontinuationprocesses.
- Manages processes related to substitute product identification.
- Communicates clearly and decisively at a system wide level concerns related to product shortages and reinforces the need for clinical decision makers to be involved in product decisions.
- Reports and tracks defective products as identified by clinical end users for QI and corrective action as back up to Risk/Safety Coordinator.
- Develops action plans in conjunction with Director when products need to be removed from use and replaced with a substitution.
- Acts as a liaison with the clinical end users and departments to resolve issues with backorders/ discontinuations and educates staff on process.
- Maintains and updates backorder and discontinuation guidelines to ensure consistency in process flow.
- Handles operational issues and provides conflict resolution.
- Maintains advanced knowledge of the WorkDay on-line purchasing system.
- Develops educational plan for new hires in conjunction with the Director, Clinical Integration
- Acts as mentor lead for staff if there are questions or concerns prior to going to the Director, Clinical integration.
- Develops a plan for issues with backorders and presents to Director for review
- Provides oversight to team for policy review / creation
- Coordinates data pulls and in depth analysis regarding backorders for clinical end user review
- Develops communication memos for distribution to end users for Director review regarding urgent product needs
