Executive Assistant
Job Summary
Serves as primary liaison for the assigned Executive or Officer with system staff and representatives from external organizations, visitors and board members. Effectively integrates work of the assigned Executive or Officer with that of the President/CEO and Executive Leadership Team. Ensures administrative management of work activities is effective, accurate, and timely; consistently ensures a gracious and professional decorum on behalf of the Executive or Officer and the organization at all times. Ensures efficiency and organization to assigned office. Reporting Structure: Executive Vice President
Job Duties
- Effectively anticipates needs and workload of Executive or Officer; identifies and addresses daily, intermediate and long-term needs and issues and plans accordingly.
- Management of schedule, coordination of meetings with other participants; workload; mail; travel, etc.
- Effectively manages planning schedule for major projects ensuring coordination and timing with other participants and project owners.
- Briefs Executive or Officer on these activities.
- Effectively manages routine clerical functions.
- Screens telephone calls and assists individuals, appropriately directing calls to system staff.
- Manages coordination and development of agendas for committees, meetings, and visitors.; prepares Executive or Officer for meetings and provides necessary materials.
- Attends identified committee meetings to take minutes and to provide follow through on next steps.
- Maintains accurate records.
- Sorts and screens mail; may independently respond to and follow up on issues as appropriate.
- Independently drafts correspondence for signature.
- Effectively manages schedule for (Executive or Officer, balancing routine schedule with strategic and emergent needs.
- Accurately and effectively manages travel arrangements.
- Completes reconciliations in accurate and timely manner.
- Coordinates group travel, lodging accommodations, breaks, dinner, and other related activities for various functions.
- Maintains Information Technology and Communications requirements for assigned office.
- Establishes and maintains resource and reference files and materials.
- Provides coverage for other offices as necessary.
- Maintains a working knowledge of System activity.
- Assistsin development and management of budget.
